The short answer
To send WhatsApp shipment notifications you need three things: access to the official WhatsApp Business API through an approved provider, message templates that WhatsApp has approved, and a tracking system that sends a message automatically whenever a shipment changes status. The messaging part is configuration. The part that decides whether it works well is the third one, because a notification is only as reliable as the status data behind it.
This guide covers what you need before you start, which status changes deserve a message, how to write templates customers actually read, and how to connect it all to your tracking system.

Why WhatsApp works better than email for status updates
Most customers will not log in to a portal to check on a parcel. They want to be told. In many markets, especially the Caribbean, parts of Africa, South Asia and Latin America, WhatsApp is where customers already talk to businesses every day, so a status message there actually gets read.
Email still has a job. It is better for anything a customer may need to find again later, such as invoices, receipts and formal notices. The split we use is simple: WhatsApp for quick status updates, email for records. Pushing everything through one channel either buries important documents in a chat or sends quick updates to an inbox nobody checks.

What you need before you start
A WhatsApp Business API provider. The official API is not the same as the WhatsApp Business app on a phone. You connect through an approved provider, which gives you the API access, a dashboard for templates and the delivery reports.
A verified business and a dedicated number. The number you register for the API cannot be in use on a regular WhatsApp account at the same time, so plan a number for notifications.
Approved message templates. When your business messages a customer first, WhatsApp requires a pre-approved template. You cannot send free-form text to start a conversation. Approval is usually quick for plain, useful messages and slower for anything that reads like marketing.
Customer opt-in. WhatsApp expects customers to have agreed to receive messages from you. Collect the phone number and consent when the customer account is created, and give people a simple way to stop messages.

Which status changes deserve a message
Do not message every internal status. Customers care about the moments when something changes for them. For a freight or package-forwarding business those usually are:
Package received at your warehouse. It confirms the parcel arrived and starts the clock in the customer’s mind.
Shipped or manifested. The package has left on its way to the destination.
Arrived and cleared, or ready for collection. This is the message customers wait for, and it should say where and when to collect or how delivery will happen.
Invoice issued or payment needed. Send the amount and a link to pay or view the invoice, and email the formal copy.
Something needs attention, such as a customs query or a missing document. These are the messages that save the most back-and-forth.
Everything else stays visible in the customer portal for those who want the detail.

How to write templates customers read
Keep each message to one fact and one action. Include the tracking number, the new status in plain words and, where useful, a link to the tracking page. Skip greetings that push the useful part below the fold on a phone screen.
Write templates with variables for the customer name, tracking number and status, then let the system fill them in. Avoid promotional wording in status templates. It slows approval and makes customers less likely to trust the messages.
Send in the customer’s language where you can. A short, correct message in the language people actually use beats a polished one they skim.

How to connect WhatsApp to your tracking system
The reliable pattern is event-driven. Every time a package’s status changes, the tracking system records the change and queues a notification for that status. A background job picks it up, fills in the template and sends it through the provider’s API.
Three details make this dependable. Log every message against the package, with the time and the delivery result, so staff can see what the customer was told. Retry failures instead of dropping them, because a number that is briefly unreachable should not mean a missed update. And check opt-in before sending, so messages never go to someone who has asked to stop.
Because the notification is driven by the status history, your team does not send updates by hand. Updating the status is the notification.

A real example
For Coralway Freight (name changed), a Caribbean freight operator, we connected the official WhatsApp Business API through a provider so a customer gets a WhatsApp message whenever their package changes status. Transactional email handles invoices, receipts and notices that need to be kept.
The operations team noticed the change quickly. Real-time updates removed most of the inbound “where is my package?” calls, which freed the same staff to work on things that needed a person. You can read how the rest of the system fits together in our guide to package tracking software for cargo companies.

Next step
If you already have a tracking system, WhatsApp updates can often be added without a rebuild. If you do not, notifications are best designed together with the status workflow. FAQ
Frequently asked questions
How do I send WhatsApp shipment notifications?
Use the official WhatsApp Business API through an approved provider, get message templates approved, collect customer opt-in, and have your tracking system send a templated message automatically whenever a shipment changes status.
Do I need approved templates to message customers on WhatsApp?
Yes. When your business messages a customer first, WhatsApp requires a pre-approved template, and you cannot send free-form text to start a conversation. Plain, useful status messages are usually approved quickly.
Which shipment updates should I send on WhatsApp?
The moments that matter to the customer: package received, shipped, arrived or ready for collection, invoice issued or payment needed, and anything that needs their attention. Everything else can stay in the customer portal.
Should I use WhatsApp or email for shipment updates?
Use WhatsApp for quick status updates and email for anything a customer may need to find later, such as invoices and receipts. Pushing everything through one channel either buries documents in a chat or sends quick updates to an inbox nobody checks.
