The short answer

If you run a cargo or freight company, you have probably asked this question and heard the same answer every time: "it depends." That is true, but it doesn’t help you plan. This guide gives you the real price bands for the tracking systems we build at Neticx, explains what moves a project up or down those bands, and shows you how to get a quote you can budget around.

The short answer: a custom shipment tracking system from Neticx costs $999 – $1,999 for a basic system, $2,999 – $4,999 for a full platform with a customer portal, invoicing and integrations, and $499 – $799 per add-on if you already have a system and want WhatsApp updates or AI invoice checks. These are fixed-price builds, quoted in USD.

What drives the cost of shipment tracking software

Six things decide most of the price.

1. How your operation works, not just how many shipments you move. A company receiving parcels at one warehouse needs different software from one consolidating cargo across several origins. Shipment volume on its own rarely changes the build cost much. What changes it is the number of stages, rules and people involved. Every extra stage (received, consolidated, manifested, in transit, customs, ready for collection, delivered) needs screens, permissions and notifications.

2. Integrations with carriers and forwarders. Pulling status updates from a carrier, or receiving data from a forwarding partner, saves your team from retyping it. Each integration takes time to build and test. Some partners offer a proper API; others only send spreadsheets or emails, which need to be read and imported. Integrations are often the biggest single variable in a quote.

3. A customer portal. A basic tracking page lets a customer enter a tracking number and see where their shipment is. A full customer portal adds logins, shipment history, invoices, pre-alerts and documents. Customers stop calling to ask where their parcel is, but the portal means more accounts, permissions and screens to build.

4. WhatsApp or SMS updates. Many customers would rather get a WhatsApp message than check a website. Automatic messages when a status changes are one of the most useful features in a tracking system. They need a messaging provider account and approved message templates, which is why we price them as an add-on.

5. Invoicing. If your system already knows the weight, dimensions and service of every shipment, it can produce the invoice too. Building invoicing into the same system removes the step where someone copies shipment data into accounting software. It also brings its own rules: rates, surcharges, currencies, taxes and payment status.

6. AI invoice checks. Freight companies also receive invoices from carriers and partners, and someone has to check them against what was actually shipped. For one logistics client, Bluewater Cargo (name changed), that check took about 10 minutes of manual work per invoice. We built AI invoice validation that reads each invoice, compares it with the shipment records and flags only the ones that don’t match. Clean invoices no longer need anyone’s time.

Build vs off-the-shelf SaaS

Off-the-shelf tracking software is quick to start: sign up, configure, go. It suits companies whose process already matches the product. You pay a subscription for as long as you use it, often per user or per shipment, and you work within the features the vendor decides to build.

A custom build costs more up front and takes longer to start, but it follows your process instead of forcing your team into someone else’s, you own the code and the data, your costs don’t grow with every new user or shipment, and you can add exactly the integration your partners need.

A simple rule: if an off-the-shelf tool covers almost everything you do and your team is happy with the workarounds, use it. If your team keeps a spreadsheet open next to the software to fill the gaps, a custom system usually pays off. For one client we built an internal cargo operations platform that replaced their spreadsheets completely; their whole team now runs on it every day.

What Neticx charges: 2026 price bands

These are fixed-price builds, quoted in USD:

Basic tracking system (shipments, statuses, customer tracking page): $999 – $1,999.

Full system like our Coralway Freight build (customer portal, invoicing, admin, integrations): $2,999 – $4,999.

WhatsApp updates or AI invoice checks added to an existing system: $499 – $799 per add-on.

Optional ongoing development and support retainer (see below): $999 – $2,999 per month.

Where your project falls inside a band depends on the factors above, mostly the number of integrations and how much the customer portal does. Fixed price means the price agreed before work starts is the price you pay for that scope.

Coralway Freight (name changed) is a Caribbean freight company. We built their cargo tracking platform with a customer portal, invoicing, an admin area and integrations, which is the kind of system the second band covers. You can see more on our cargo tracking software development page.

Hosting: we don’t sell hosting. Your system runs on your own cloud account, for example AWS, DigitalOcean or a similar provider. You pay the provider directly and you fully own the account, the server and the data. We set it up and deploy to it. If you ever change developers, nothing has to be moved out of someone else’s account.

What happens after launch

Launch is not the end. Software that runs a cargo operation needs monitoring, security updates and the occasional fix, and growing companies usually want new features as they add routes, partners or branches.

Most smaller systems don’t need a large ongoing contract. For a basic system, we quote a lighter care plan together with the build, so you know the running cost before you commit.

For growing operations, we offer an optional ongoing development and support retainer at $999 – $2,999 per month. It covers monitoring, security updates and bug fixes, plus a block of developer time every month for new features and integrations: a new carrier, a new report, a new branch. It is optional. You can also order changes as one-off projects when you need them.

How to get an accurate quote

The fastest way to an accurate number is to bring these to the first call:

1. Your current process, step by step, from shipment received to delivered and invoiced.

2. The spreadsheets, forms or tools your team uses today (screenshots are fine).

3. Who will use the system: staff roles, customers, partners.

4. The carriers, forwarders or other systems you need to connect to.

5. Whether you want WhatsApp or SMS updates, invoicing or AI invoice checks now, or later.

6. Your timeline.

With that, we can usually tell you on the call which band you fall into, then send a fixed quote. If you are still comparing options, our guide to package tracking software for cargo companies covers the features worth having and how to plan a system.

Get a fixed quote for your tracking system

If you are weighing up a custom tracking system, the quickest next step is a short conversation about how your operation works. Book a free 15-minute intro call and we will tell you what your system would involve and which price band it fits. You can also see what we build on our cargo tracking software development page.
